What actually happens, stage by stage.
Most of the anxiety in a visa application comes from not knowing where a case is or whose turn it is. This is the whole sequence, with the responsible party named at every step. Nothing here is a timeline — the parts we control we will commit to, and the parts we do not, we will not pretend to.
Before anything starts
A visit visa case begins with a question, not a form. The first thing worth establishing is whether the route you have in mind is the right one for your nationality, your residence and your purpose — because everything downstream is shaped by that answer.
That is why the first two stages below are conversation rather than paperwork. Getting them wrong means assembling the correct evidence for the wrong application.
It is also worth being plain about where the commitment sits. An enquiry costs you nothing and commits you to nothing. The service is agreed and paid for before any processing work starts — so until payment is confirmed you have an enquiry with us, not a case.
Every stage, and who holds it.
A straightforward case moves through these in order. Cases with complications loop back — a document request, a change of plan, an additional evidence request from the authority — and that is normal rather than a sign something has gone wrong.
Enquiry
YouYou tell us where you want to travel, on which passport, from where, and roughly when. No documents at this stage, and nothing is committed.
Consultation and qualification
VizaboltWe talk through your circumstances and establish which route applies. If the route you had in mind is not the right one — or if the timing does not work — this is where we say so.
Service agreed and quoted
VizaboltOnce we both know which route applies, we confirm the scope of what we would do and issue an invoice for it. Nothing has started yet at this point — you are deciding whether to go ahead.
Payment
YouThe service is paid before any work begins. This is the point the relationship changes: until it is settled, you have an enquiry with us, not a case.
Case activation
VizaboltWith payment confirmed, your case is created and becomes the single place the work lives, rather than a thread of emails. Portal access is set up at this point, and the case goes to the team who will process it.
Applicant information
YouEvery traveller on the case gets their own profile. A family of four is four applicants, because each one is assessed on their own passport and their own circumstances.
Document request
VizaboltYou receive a checklist built around your actual case — per applicant, reflecting your nationality, residence and purpose — not a generic list of everything anyone might need.
Document review
VizaboltWe check the set for completeness, legibility, currency and internal consistency. Expect at least one round of corrections; this is where most of the value is, and a clean set is worth the back-and-forth.
Application preparation
YouWe help prepare the application and supporting material. You review and confirm everything before it is submitted — and for routes where you complete your own official application, we are explicit about that up front.
Submission and appointment
YouThe application is lodged and, where the route requires it, you attend your own biometrics or interview. We prepare you for it; attendance is yours.
With the authority
AuthorityThe case sits with the consulate or immigration authority. Processing time, requests for further evidence, and the decision are entirely theirs. If they ask for more, we turn it around with you quickly.
Decision and completion
AuthorityYou are told the outcome by a person, not by a status change. If it is a refusal, we go through the stated grounds and whether reapplying makes sense — sometimes the honest answer is that nothing material has changed yet.
When the sequence loops
Two stages routinely repeat. Document review loops when something needs replacing — an expired certificate, an illegible scan, a statement that stops one month short. That is the process working, not failing.
The second loop is an additional-evidence request from the authority mid-case. It is not a bad signal in itself; it means someone is looking at your file. What matters is responding completely and quickly, which is easier when the original set was well organised.
Plans also change. If your dates move or a traveller drops out, tell us early — the earlier a change lands, the less of the prepared file it disturbs.
What this service covers.
What Vizabolt does
- Establishing the right route for each traveller
- A document checklist built per applicant, per case
- Review of your documents for completeness and consistency
- Correction guidance where something needs replacing
- Application preparation support and pre-submission checks
- Guidance on appointment and submission steps
- A single case record you can follow, rather than an email thread
- A named point of contact for the case
What sits outside it
- Any influence over the decision — that is the authority's alone
- Booking outcomes or appointment availability we do not control
- Attending your biometrics or interview on your behalf
- Legal advice, and tax advice, which need a licensed specialist
- Translation, attestation and courier services themselves, though we tell you what is needed
- Government, consular and visa-centre fees
Government, consular, visa-centre, translation, attestation and courier costs are separate from our service fee unless a written engagement says otherwise. Fees for our own work are confirmed with you before any engagement begins.
What we will not tell you
We will not tell you how long it will take. Processing times and appointment availability are set by the authority, vary by season and case, and change without notice. A number here would be a guess presented as a commitment.
We will not tell you your chances. Nobody can quantify them, and anyone who does is selling confidence rather than a service.
We will not tell you a document set guarantees anything. A complete, consistent application is the thing we can actually deliver, and it is worth doing well — but the decision belongs to someone else, and we would rather say that at the start than after.
